Few things sabotage a meeting faster than a camera that shows your ceiling or a dark silhouette. Setting up a video conferencing camera correctly takes about ten minutes and comes down to three things: the physical connection, the software permissions, and where the lens actually points. Get those right and you’ll look sharp on every call, whether you’re on a laptop or running a conference room.
Connect the Camera Directly to Your Computer
Plug the webcam into a direct USB port on your computer. USB hubs—especially unpowered ones—can cause intermittent detection or dropped video. A direct connection gives the camera consistent power and a stable data path.
Some conference cameras use a base with a speakerphone. The Logitech BCC950, for example, attaches to its speakerphone base and connects to the computer through one USB cable. Plug in the power adapter to the base and an AC outlet, then connect the USB cable to the computer. Grant Camera Permissions in Windows or macOS
Modern operating systems block camera access by default until you allow it. If your webcam shows a black screen or an error, the OS is often blocking the app, not the hardware.
On Windows 11, open Settings > Privacy & security > Camera. Turn on the master camera access toggle, then make sure the specific meeting app—Zoom, Teams, Google Meet, or Webex—is also enabled in the “Let apps access your camera” list below it.
On macOS, open System Settings (or System Preferences on older versions) > Privacy & Security > Camera. Toggle on the meeting app you plan to use. If the app is already running, restart it so the permission takes effect.
Camera access is per-app, so a different program may be using the camera even when your meeting app shows nothing. Close other apps that could be holding the camera open.
Select the Right Camera Inside the Meeting App
Even with permissions granted, the meeting app must know which camera to use. In Microsoft Teams, click Settings and more (the three dots next to your profile picture), then Settings > Devices. Under Camera, choose Microsoft Modern Webcam or your camera’s name from the dropdown. A live preview window shows what the camera sees.
Zoom, Google Meet, and Webex each have similar camera selectors in their settings or video menus. Pick your camera by name, not “Default,” when possible.
Position the Lens at Eye Level With Front Lighting
Where the camera sits matters as much as the hardware. Place the lens at or slightly above eye level for the most natural face-to-face angle. A camera below eye level points up and creates unflattering angles; one too high makes you look down at the screen.
Use a tripod, monitor clip, or stand to hit the right height. Keep your head and shoulders visible in the frame. Face a light source when possible—a window or lamp in front of you—and avoid strong backlighting from windows behind you, which turns you into a dark silhouette.
Join a test meeting or open the app’s preview before the real call. Check your framing, lighting, and angle while there’s still time to adjust.
Set Up Conference Room Cameras for Group Calls
Room systems follow the same principles with different placement. The camera should be horizontally centered near the display, mounted at a height that keeps eye contact with people in the room. Cisco recommends a mounting height between 44 inches (1.12 m) and 72 inches (1.83 m), with the camera above the screen for displays under 80 inches diagonal.

Some platforms limit resolution regardless of your camera. Google Meet caps most accounts at 720p, and Webex supports 1080p only when enabled in account settings. If you need higher quality, check the platform’s plan and settings first.

Join a test call using the same app you’ll use for the real meeting. Look at the preview: head and shoulders centered, eyes near the upper third of the frame, and no bright window behind you. The setup hinges on four conditions: a direct connection, granted permissions, the right camera selected in the app, and eye-level placement with front lighting. Work through those in order and your next video call will look like the camera is flattering you on purpose.
